For Service Unit Cookie Managers
Cookie Rewards Shipping to Service Units Next Week
We know your Girl Scouts (and you) are anxiously awaiting your rewards, but please be patient, and allow your Service Unit cookie manager time to properly count and pack your items. The shipments will arrive next week. Reach out to your Service Unit cookie manager to see if they need any assistance in sorting and packing the items—With all those boxes, they would really appreciate it!
Your Service Unit cookie manager will connect with you when the rewards are ready for pickup. To verify the counts of each item with your Service Unit, log into Smart Cookies, and select Current from the Reports section. Find Recognition Order Summary by Troop and print a copy of this report.
Note on Initial Order Boost Bar & Online Rewards
The Initial Order Boost Bars and Online Rewards will not appear in your reports. Your Service Unit cookie manager will have a packing list for these items. The Initial Order Boost Bars are given to each selling Girl Scout at the time of the initial order. Your Service Unit cookie manager will have a packing list sorted by Girl Scout for the Online Patch, the “I Sold 100” Online Boost Bar, and the Selfie Ring Light. Take a photo of this packing list, or jot down the information to note the Girl Scouts who receive these items.
Katie the Koala Plush Delay
Earlier today, all troop and Service Unit cookie contacts listed in Smart Cookies were notified by ABC Bakers of a supply chain issue affecting the small Katie the Koala plush delivery, a reward choice at the 235-package level. The plush will not be included in next week’s reward shipment to Service Units. ABC Bakers anticipate the small koala plush to ship it to Service Units later this fall. All other cookie reward items will ship on time.
The 4,400+ Girl Scouts that selected the small koala plush will receive a special “friend,” elephant plush, to keep them company until Katie arrives and a card to explain the delay.
When ABC Bakers updates us on the anticipated arrival of the small koala plush later this fall, we will update you as well.
Distributing Rewards to Girl Scouts
Log into Smart Cookies and select Current from the Reports section and print a copy of the Recognition Order Summary by Girl Report to distribute items to Girl Scouts. Set up a schedule and inform families of the opportunity (date/time) to pick up their items. Verify the items with the parent/guardian to ensure the Girl Scouts receive their correct rewards.
- Pro Tips: Have the parent/guardian sign your copy of the Recognition Order Summary Report to acknowledge they have received all items. See the April 15 Cookie Press blog post for details on 700+ packages reward items.
For Girl Scouts that earned the Cookie Combo Personalized Patch after sending 15 emails during the Snacks & Magazines Program and selling 300 packages of cookies this season, these patches will be sent directly to them by the end of July.
Download Cookie Reports Before the Deadline
Access to Smart Cookies will be turned off on July 15, and you will not have access again until this winter (did we just say WINTER?). Download and save these Smart Cookies reports for your troop records.
Recommended Reports to Download
- Troop Balance Summary: Review of how many cookies were given to the troop, how much money was collected by the Girl Scouts, troop PGA, the total number of direct ship cookies, and the number of Cookie Care Package (Virtual Share/CShare) donations
- Girl Cookie Totals Summary: Overview of the number of packages sold per Girl Scout, including a column for the CShare (which shows cookie donation totals), and the total packages sold by Girl Scout
- Girl Cookie Order Detail Summary: This shows the transfers to and from each Girl Scout as well as any direct ship orders. The ‘Troop Total’ will list the number of cookies transferred to the troop girls by variety
- Track Cookie Share: Shows the total of both virtual and troop donation programs
- Girl Balance Summary: Views of each girl’s sale into how many cookies of each variety she sold at cookie booths, individually, and online
- Recognition Order Summary by Girl: Listing of rewards that each Girl Scout earned
Electronic Cookie Credits and Juliette Program Credits
Due to a processing delay from our electronic credit vendor for electronic Cookie Credits, the Cookie Credit codes will be sent to Girl Scouts by the end of May. Emails with the credit codes for Juliette Program Credits have been sent to the Girl Scout’s primary caregiver this week. Review our Electronic Program Credit FAQs for more details about using these credits. When Girl Scouts are ready to use the codes, they can use the Electronic Program Credit Redemption Form.
June 2: Last Cookie Press of the Season
The last edition for the season of the Cookie Press blog post will be on June 2. This post will feature our annual cookie survey to officially wrap up the 2022 Cookie Program.
Rewards Reports & Reporting Issues
We can “bear-ly” contain our excitement! Those boxes and boxes of girl rewards are scheduled to ship the week of May 23 to Service Units.
After You Receive Your Reward Shipments
- Locate the packing slips and verify total items received. You will receive packing slips for the Girl Scout and troop rewards (which will be the same totals as the Recognition Order Summary by Service Unit Report from Smart Cookies), initial order Boost Bar patches, and online rewards.
- Remember: The initial order boost bar and online reward items will not appear on your Service Unit or Troop Recognition Order Reports.
- Compare the total items received against the totals indicated on the packing slips.
- If you have questions about or are missing these additional packing slips, reach out to us by phone or email.
- If there are issues with the totals received, follow the directions below :
- If you don’t receive enough items, receive too many items, or receive damaged items, report these issues to us using our Cookie Reward Issues Form
- Sort the items by troop. Run the Recognition Order Summary by Troop Report and print a copy. Use this report along with the initial order and online rewards packing slips to complete this step.
- Pro Tip: Get other troop volunteers involved in sorting and packing rewards. Many hands make for lighter work. A bonus is they can pick up their items early!
- Inform troops the rewards are ready for pick up. See below for our recommended best practices for distribution. For the initial order Boost Bar patches and online rewards, have the troop take a photo of your packing list or jot down the information on which Girl Scouts earned these items in the troop
Rewards Pickup Best Practices
Here are a few tips to assist in making reward pickup accurate and efficient:
- Set up separate pickup appointments for each troop.
- Use SignUp Genius or a similar platform to schedule pickup times.
- Use boxes, grocery bags, or paper bags to contain rewards.
- If you are setting out multiple troops’ rewards at once, label them clearly and leave space between each troop’s items.
- Verify the reward counts with each troop and have the troop volunteer sign the Recognition Order Summary by Troop Report.
Important Cookie Reports
Encourage your troops to download important reports for this season to save for their records. You can also download any helpful reports for the Service Unit records to utilize for next season. Here are some reports we suggest for downloading as a Service Unit volunteer by July 15:
- Recognition Order by Troop – Lists the total rewards for each troop
- Troop Balance Summary – Review of the troop financial and transfer transactions
- Troop Initial Order – Lists the initial order case counts for each troop
Service Unit Proceeds
Congratulations to the 60+ Service Units that will receive Service Unit proceeds! To qualify, the Service Unit needed to reach a 75% or higher Girl Scout participation rate during cookie season*. The proceeds will be transferred by ACH to the Service Unit bank account by the end of May. If your Service Unit earned the proceeds, an email will be sent next week to the Service Unit Manager and Cookie Manager with the information on the proceed amount.
*A Girl Scout was considered participating if she had sales of 25 or more packages allocated to her. Participation rate was based on Girl Scouts in the Service Unit as of 1/31/22.
