Thank you to service unit volunteers who came to our first ever Cookie Conference last weekend! We appreciate your time, ideas, and questions to kick off what we know is going to be a wonderful cookie season.
In this edition:
For Service Unit Cookie Managers:
- Online Training
- Training Your Troops
- Communicating with Troops
- Mini-drop Deliveries
- Cookie Rally Kit Reminder
All volunteers received an email with a link to register their Smart Cookies account on December 9. Now is great time set up your troop in Smart Cookies. You can follow the Troop Set Up section of the Smart Cookies Guide to make sure everything is good to go for cookie season.
Troop banking information was uploaded into Smart Cookies on December 9. Please check that it is correct by selecting the My Troop tab and choosing Troop Information from the drop-down menu.
You will see the last four digits of the account number and the full routing number. If this information is missing, you can add or update the account numbers manually. Make sure you select Update Information at the bottom of the page to save your changes.
Check that all volunteers in your troop are accurate in the Troop Information tab in Smart Cookies. Girl Scouts River Valleys has assigned two “contacts” and two “users” to your troop in Smart Cookies based on our records.
Contacts receive automatic emails from Smart Cookies. These emails are sent when inventory is added to their troop, like cupboard visits or troop transfers, and also to confirm cookie booths. Smart Cookies allows up to two contacts per troop.
Users can access Smart Cookies to manage a particular function. They can schedule booths, assist with managing inventory, track finances, and more. Girl Scouts River Valleys can add more users to your troop upon request. We recommend no more than four users for each troop to avoid errors.
Please contact us if you would like us to adjust your troop’s contacts or users in Smart Cookies.
Juliette Girl Scouts are Girl Scouts who are not connected to a troop. Banking and finance are the only part of the Cookie Program that is different for Juliettes. Because Juliettes do not have a troop bank account, all money must be deposited into Girl Scouts River Valleys’ Wells Fargo account. Juliettes are then issued Juliette Program Credits at the end of the sale in place of proceeds.
What this means:
- Juliettes do not need to enter in bank information in Smart Cookies.
- Juliettes cannot keep the troop proceeds in cash.
- Juliettes need special encoded deposit slips from Girl Scouts River Valleys. To request these for any Juliettes in your service unit, please email us the following information:
- Juliette name
- Juliette number
- Mailing address to send the deposit slips
Online training is now available for troop cookie managers, as well as service unit cookie managers who were not at the Cookie Conference in-person training. A service unit cookie manager must complete training by January 11 to be eligible for the Service Unit Bonus. Attending the Cookie Conference in-person training or finishing the online training qualifies as completing training.
For a service unit to be eligible for the Service Unit Bonus at least one service unit cookie manager must have attended the Cookie Conference or completed the online training course by January 11.
For Cookie Conference Attendees
We value your feedback and want to hear about your Cookie Conference experience! Please complete the 2020 Cookie Conference Survey, which should take less than 10 minutes.
Now that you have your materials and training, it’s time to start training your troops. Visit the Training Your Troops section of the Cookie Program Training page for tips and resources for training your troops.
This Lessons that Last a Lifetime video is a great way to remind troops what the cookie season is all about.
Many returning service unit cookie managers use email to reach out to troops. Here are some great tips they have for how to go about it:
- Have a simple and clear subject line.
- Use bullet points for tasks.
- Bold and highlight deadlines.
- Keep emails short and to-the-point.
Girl Scouts River Valleys emailed cookie delivery dates and details to service unit volunteers who will be accepting mini-drop deliveries. These are primarily located in smaller communities. Please review the email and submit your information no later than December 15 if you have not done so already.
Don’t forget to order yours by December 20! Visit the Cookie Rally Order webpage for more information and to place your order.
